Sheet 02 — Scope of work6 itemsSYD-DOC

Scope

What we do.

The work is done by marine engineers who know what each document is for and where it belongs on board.

  1. 01

    Collection

Manuals, drawings, system diagrams and certificates gathered from the yard, the equipment suppliers and what is already on board.

  2. 02

    Review and structure

Every file is reviewed, renamed to one convention and placed in a documentation tree that matches how the boat is run.

  3. 03

    Digitised and searchable

Paper documents are digitised where needed, the text is made searchable and files are sized to load quickly on board.

  4. 04

    Validated and linked

Each document is checked against the machinery identified on board and linked to the equipment it belongs to, so the crew opens it from the equipment instead of searching a folder.

  5. 05

    Missing documentation

We list what is missing and help retrieve it, starting with main, critical and safety equipment.

  6. 06

    Uploaded to your PMS

The finished set goes into the system you run, describing the vessel as she was built and modified, ready for survey, refit or sale.

Questions about documentation.

All questions
What happens to the documents we already have?

We start from them. The audit lists what is usable, what is missing and what is out of date, and we collect the rest from the yard and the suppliers.

How long does it take?

On an operational yacht, documentation is part of a set-up that takes about eight weeks. On a new build it is ready at handover, provided we are brought in around six months beforehand, while the manuals can still be collected from the yard and people are there to ask.

Who owns the data at the end?

You do. We build in open, documented formats with clean exports, so the record moves with you between platforms and management companies. It stays confidential under NDA after the project closes.
