Our approach

A management system is only as good as the data inside it.

Most PMS rollouts do not fail because the software is poor. They fail because the data underneath is incomplete, inherited from the last owner, or never properly built. The system never reflects the real vessel, and the crew stop trusting it.

Superyacht Data exists to fix that. We build the as-built foundation, with every component, document and certificate collected, verified and structured, so whichever system you run mirrors the boat. We have built these records inside the main platforms on the market, so the foundation moves with you.

How we work

From bare hull to a trusted record.

  1. 01 · Audit

    What exists

We start with the vessel, the documents and whatever system is already in place, and list what is missing, out of date or wrong.

  2. 02 · Structure

    How the boat is run

A component hierarchy and a documentation tree built around how this vessel is actually operated.

  3. 03 · Populate

    Everything filed

Manuals, drawings and certificates collected, renamed and filed against the component they belong to. Maintenance plans built to manufacturer intervals, with LSA and FFE tasks alongside. You follow the progress in real time on a shared project platform.

  4. 04 · Handover

    Crew trained, record verified

Quality checks on the database, the documentation and the maintenance plan, then training for Heads of Department and crew. An operational yacht takes about eight weeks. A new build is ready the day she is handed over, given six months' notice.

Sheet 07 — General notesWhy us5 notes

General notes

Why owners and managers choose us.

We are specialists. Documentation, databases, software advice and 360° tours are all we do.

  1. Advice from people who have run these systems.

We have implemented IDEA, Deep Blue, Seahub, Marad and more, so when we compare them we describe systems we have worked inside. Where we have a commercial interest in a system we put forward, we tell you before you decide.

  2. Taken from the boat.

Every component, certificate and document is captured from the vessel itself, then checked, so what is on the screen matches what is on the boat.

  3. Your vessel on every device.

360° tours open on PC, tablet, mobile and VR, online or offline. No specialist software and no training needed to look around.

  4. The record belongs to you.

Everything we build is structured, exportable and vendor-independent. If you change systems or management company, your data comes with you.

  5. Built by people who live in yachting.

Based in Viareggio, at the heart of the refit industry. We work the way yards and crews work, and we speak the same language as the teams who build the software you rely on.

Behind the panel, on the record.

Once the panels close, what runs behind them is gone from sight. The tour keeps it on record.

  • See behind closed panels

Cabling, piping and structure stay on record after the panels close. Find them without opening a ceiling or damaging the finish.

  • Go back to any build stage

Viewpoints are linked across the stages of the build, so you can step back and see a space as it was before it was closed up.

  • Across the whole vessel

Move from compartment to compartment in the layout of the boat, from anywhere, online or offline.

Sheet 10 — Handling notesYour data4 notes

Your data

Handled with care.

We work with sensitive owner information every day.

  1. Confidential.

Owner information is treated as strictly confidential, under NDA, during the project and after it ends.

  2. Portable.

We build in open, documented formats with clean exports. Your record moves with you between platforms and management companies.

  3. Verified.

Captured data is cross-checked against nameplates, drawings and the vessel before handover, so you inherit facts you can rely on at survey or sale.

  4. Delivered your way.

Encrypted transfer, your hosting or ours, and a clean handover package of documentation, tours and database.

Sheet 11 — QueriesFrequently asked6 questions

Queries

The questions we get asked.

If yours is not here, ask us directly. We would rather answer it properly than have you guess.

What is a PMS, and why does the yacht need one?

A planned maintenance system is the single place where every component, its service interval, its history and its paperwork live together. Without one, that knowledge sits in the chief engineer's head and in a folder tree nobody else can navigate. That becomes a problem the day the engineer leaves, class turns up, or the yacht goes to sale.

How do we choose between the software providers?

There are around fifteen serious providers, ranging from roughly €300 to €6,000 a year, some sold as a subscription and some as an upfront licence. They differ far more in how they handle documentation and offline use than in their feature lists. We have worked inside IDEA, Deep Blue, Seahub, Marad and more. No third-party vendor pays us a commission, so the comparison comes down to your vessel and your crew.

How long does a set-up take?

An operational yacht takes about eight weeks. A new build is ready on the day she is handed over, provided we are brought in around six months beforehand: early enough to photograph the spaces while the panels are still open, and to collect manuals from the yard while people are still there to ask.

Our current system is a mess. Do we start again?

Usually not. Most of the time the data is salvageable and the structure is the problem. We audit what is there, verify it against the vessel, rebuild the hierarchy and maintenance plans, and keep the history you have already built up. Starting from zero is a last resort.

Do you have a stake in the software you recommend?

Occasionally a client asks us to handle a licence purchase, simply because it is one supplier fewer for them to set up. We do that as a convenience and it plays no part in what we recommend.

Where we do have a commercial interest in a system we put forward, we tell you before you decide, so you can weigh the recommendation knowing it. The comparison we run is the same either way: your vessel, your crew, your budget.

Who owns the data at the end?

You do. We build in open, documented formats with clean exports, so the record moves with you between platforms and management companies. Everything is handed over encrypted, hosted wherever you prefer, and it stays confidential under NDA after the project closes.
