PMS set-up.

A PMS is only as effective as the information behind it. We deliver a complete, verified system that is ready for daily use, in any software you choose, on new builds and operational yachts from 24 to 133 metres.

Scope

What the set-up includes.

Each project is adapted to the vessel, its technical documentation and the state of its data. Our marine engineers combine on-board inspections, document analysis and manufacturer research. On a new build the database is refined as construction progresses.

  1. 01

    Equipment database

Our engineers alternate between on-board inspections and remote technical work, verifying each component and cross-checking it against equipment lists, drawings and manufacturer documentation. Every component is recorded with its maker, model, serial number, location and nameplate photographs.

  2. 02

    Technical documentation

Manuals, drawings and system diagrams organised, renamed, digitised where needed and linked to the equipment they cover. We identify what is missing and help retrieve it, starting with main, critical and safety equipment.

  3. 03

    Maintenance plans

Manufacturer maintenance requirements programmed for each component: calendar and running-hour intervals, task instructions, the responsible department, and the manual linked to the task. LSA and FFE tasks follow the vessel's safety documentation and certificates.

  4. 04

    Verification and quality control

Data is cross-checked continuously while the database is built. Before delivery, dedicated checks cover the equipment, the documentation and the maintenance plan.

  5. 05

    Shared project platform

Throughout the implementation you follow progress in real time on a shared project platform, so you always know where the work stands.

  6. 06

    Delivery and crew training

We review the finished system with your team, then train Heads of Department and crew on its structure and on day-to-day use.

  7. 07

    Existing systems

Already have a system nobody trusts? We audit it, verify it against the vessel, rebuild the hierarchy and keep the history you have.

Operational yacht

About 8 weeks

From the start of work to a system the crew can use. The exact time depends on where the vessel is.

New build

Ready at handover

We start around six months before delivery, while the panels are still open and the yard still has the manuals.

How we work

From bare hull to a trusted record.

  1. 01 · Audit

    What exists

We start with the vessel, the documents and whatever system is already in place, and list what is missing, out of date or wrong.

  2. 02 · Structure

    How the boat is run

A component hierarchy and a documentation tree built around how this vessel is actually operated.

  3. 03 · Populate

    Everything filed

Manuals, drawings and certificates collected, renamed and filed against the component they belong to. Maintenance plans built to manufacturer intervals, with LSA and FFE tasks alongside. You follow the progress in real time on a shared project platform.

  4. 04 · Handover

    Crew trained, record verified

Quality checks on the database, the documentation and the maintenance plan, then training for Heads of Department and crew. An operational yacht takes about eight weeks. A new build is ready the day she is handed over, given six months' notice.

Queries

Questions about PMS set-up.

All questions
What is a PMS, and why does the yacht need one?

A planned maintenance system is the single place where every component, its service interval, its history and its paperwork live together. Without one, that knowledge sits in the chief engineer's head and in a folder tree nobody else can navigate. That becomes a problem the day the engineer leaves, class turns up, or the yacht goes to sale.

How long does a set-up take?

An operational yacht takes about eight weeks, depending on where she is. A new build is ready on the day she is handed over, provided we are brought in around six months beforehand: early enough to photograph the spaces while the panels are still open, and to collect manuals from the yard while people are still there to ask.

Our current system is a mess. Do we start again?

Usually not. Most of the time the data is salvageable and the structure is the problem. We audit what is there, verify it against the vessel, rebuild the hierarchy and maintenance plans, and keep the history you have already built up. Starting from zero is a last resort.
