Full PMS set up

Superyacht Data is specialized in PMS set up for new build or operational Yachts from 25 to 130m. We have 40 years of combined experience and have worked on the most unique projects all around the world. We can set up any system of your choice.

Database

Based on our experience and leading industry standards, we developed an intuitive database structure specifically designed for Superyachts. In order to populate the database, our team will alternate between on-site inspections and office work to ensure best data accuracy, completeness, consistency and reliability.

Maintenance plan

Keeping your database running smoothly is vital for your operations. Our team will create a customized maintenance plan according to the manufacturer’s recommendation as well as LSA and FFE tasks. We employ best practices and industry standards to minimize downtime and ensure data integrity.

Technical documentation

Manuals are key for creating a maintenance plan. We have developed a unique and unparalleled data collection method which allows us to collect all necessary manuals and technical documentation. All manuals will be collected, organized, renamed and uploaded in the designated planned maintenance system.

FAQ

FAQ

A Planned Maintenance System (PMS) is a comprehensive solution designed to streamline the upkeep and servicing of every aspect of a yacht, ensuring optimal performance, safety, and longevity. It provides a structured framework of procedures, schedules, and documentation to help yacht owners, operators, and crew effectively manage and track maintenance tasks for the vessel’s critical systems and components, from engines and navigation equipment to safety systems and living spaces.
Beyond maintenance, a PMS can also include a range of additional modules and features to support the efficient operation of the yacht. These may include tools to manage and purchase necessary spares, monitor vessel and crew certificates, organize checklists, maintain a digital logbook, oversee finances, track hours of rest, and more. This versatility makes a PMS an invaluable asset, offering a centralized platform to ensure compliance, enhance operational efficiency, and provide peace of mind that all aspects of the yacht are well-maintained and properly managed.

With a wide variety of software options available, choosing the right Planned Maintenance System (PMS) can be a challenging task. Some solutions originate from the shipping industry and are adapted for yachting, while others are specifically developed with the unique needs of the yachting industry in mind. These options vary significantly in terms of user interface design, ease of operation, and functionality, all of which can greatly impact the user experience.
PMS software pricing also varies widely. Basic options start at approximately €300 per year, while advanced solutions with extensive features can cost up to €6,000 annually. Pricing models differ as well. Some software operates on a yearly subscription basis (SaaS), while others require an upfront license fee in addition to an annual subscription for updates and support. Understanding these models is crucial to selecting a solution that aligns with your budget and operational needs. The right choice often depends on the type of yacht and its operational requirements. For privately operated yachts, simple and user-friendly solutions are usually sufficient. Meanwhile, commercial yachts benefit from software with advanced features that support regulatory compliance, detailed reporting, and maintenance tracking.
Finding the best software for your needs and budget requires insight into these factors, and that’s where we come in. With our expertise, clients can save thousands of euros by identifying the most cost-effective and suitable software options. We ensure you select a PMS solution that fits your yacht’s specific requirements, integrates seamlessly, and provides effective long-term management.

Setting up a Planned Maintenance System (PMS) may seem straightforward for an experienced engineer, provided they have access to complete and accurate technical data and ample time. However, in reality, technical documentation is often incomplete, outdated, or even in paper format, making the process significantly more challenging. With engineers facing limited time on board, PMS setup frequently falls to the bottom of their priority list. This often results in subpar databases with inconsistent quality and no clear accountability.
Creating a PMS is much like building a house. While anyone can stack bricks, constructing a structurally sound, well-designed home requires meticulous planning, the right materials, and the expertise of a skilled builder. Similarly, while anyone can attempt to set up a PMS, achieving a reliable, efficient, and comprehensive system demands experience, organization, and attention to detail.
Data entry is an equally unpredictable and complex task, with each project presenting unique challenges. The difficulty depends on the availability and organization of information, the experience of the person handling large datasets, and tight time restrictions.
For new build projects, Superyacht Data ensures that the delivery of a fully populated PMS coincides with the vessel’s handover, provided we are involved at least six months prior to delivery. For operational yachts, our team can complete the setup in 8 weeks, depending on the vessel’s location and the availability of data.

Yachts are subject to a wide range of regulations and safety standards, which vary depending on their size, classification, and operational region. Navigating these requirements can be complex, but our team, with in-depth knowledge of maritime regulations can ensure that maintenance plans are fully compliant with all applicable rules. This proactive approach helps yacht owners avoid potential fines, legal complications, and unnecessary downtime.
A well-implemented PMS not only streamlines compliance but also simplifies annual survey reporting by maintaining accurate and organized records of maintenance and inspections. This level of transparency not only satisfies regulatory bodies but also builds trust with stakeholders. Additionally, a PMS ensures that essential maintenance tasks are completed on time, reducing risks and enhancing the overall safety and reliability of the vessel.

Setting up a maintenance system is a complex process that requires expertise in handling, organizing, and retrieving large volumes of data. Our team specializes in implementing a PMS for operational vessels, completing the setup in as little as eight weeks. A well-structured PMS is often a prerequisite for warranty repairs and can be critical for insurance claims.
In essence, a PMS is a valuable investment that benefits owners, management, and crew alike. It enhances safety, reduces costs, ensures regulatory compliance, and provides peace of mind that your asset is meticulously maintained and protected for the long term.
